A Quick Guide to Working With Offline Folder (OST) Files

If you have an account on a Microsoft Exchange Server and find that you are unable to access important mails or make important changes in your schedule through Outlook because the network connection is not available, you will realize the need to work with Offline Folder Files or OST files. Using the offline folders feature, you can make local copies of the information stored in the mailbox on the server and continue working on them even if the network connection is not available. When you connect to the network, you can request Outlook to carry out synchronization so that all the changes made in the local copies are reflected in the data stored on the Exchange server. You could also set up Outlook so that the synchronization takes place automatically whenever a network connection is established. As we shall soon see, there are many advantages to working with offline folder files, from increasing efficiency to improving exchange recovery.

Let us now take a closer look at the benefits of working with Outlook OST files:
" The biggest benefit of working with Outlook offline folder files or OST files is that it completely eliminates your dependence on network connections and thus the fear of sudden network outages. When you are working with OST files, you do not have to worry if the network goes down or if the information on the server becomes unavailable to you. You can continue working with the data contained in the OST files without any interruption. You should however be aware that repeated disruptions in the network could cause damage to the OST file requiring you to carry out an exchange recovery.
" Typically, when you are not connected to the network like say when you are traveling, you would expect to be unable to work with the mails stored on the server. OST files make it possible to stay offline and still have a copy of the data. If you are on the move and need to work through your laptop, using OST files you can still work with the data from the Exchange server even if you are not able to connect to the network. The next time, you manage to log on to the server, Outlook will easily synchronize all the changes between the data stored in the two locations.
" If you are working with a very slow network connection, working with the mailbox on the Exchange server could prove to be slow and highly inefficient. You can improve your efficiency by choosing to work instead with offline folder files or OST files. You can quickly review the latest mails and compose responses. These of course, will be sent the next time you go online.

Sometimes, you do get error messages while synchronizing the OST files with the mailbox stored on the Exchange server indicating that the OST files could be corrupted or their integrity compromised in some way. One of the simplest ways of dealing with corrupt OST files is to use sophisticated recovery tools such as Advanced exchange recovery from DataNumen to carry out a quick and hassle-free exchange recovery. This will ensure that you do not suffer any data loss while at the same time taking full advantage of the offline folders feature.
